Provides administrative support to the Pain Management department, ensuring efficient daily operations, patient flow, and communication. This role serves as a key point of contact for patients and requires strong customer service skills, attention to detail, and the ability to manage high-volume interactions in a fast-paced environment.

Performs job functions in a manner that supports operational efficiency, patient satisfaction, and compliance with hospital policies and procedures.

Position: Administrative Assistant

ESSENTIAL RESPONSIBILITIES / DUTIES:

Responsibilities / Essential Functions

  • Acts as liaison between patients, providers, and internal departments to ensure effective communication and workflow
  • Coordinates patient appointments, including recurring monthly visits and follow-up scheduling
  • Manages patient-related documentation, including charts, lab results, and treatment records, ensuring accuracy and compliance
  • Assists with patient communication, including responding to messages, scheduling needs, and general inquiries via phone and internal systems
  • Supports daily patient flow through check-in and check-out processes
  • Maintains departmental records and ensures adherence to organizational policies and procedures
  • Ensures proper maintenance of office and exam room equipment
  • Provides excellent customer service to patients, staff, and external stakeholders in alignment with service standards
  • Adheres to all confidentiality policies and regulatory requirements

Education Requirements

  • High School Diploma required
  • Associate’s degree or business school training preferred

Required Knowledge and Skills

  • Strong customer service skills with the ability to handle a high volume of patient interactions
  • Ability to manage difficult or sensitive situations with professionalism and composure
  • Strong communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced healthcare environment
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive patient information
  • Experience with administrative functions such as scheduling, documentation, and coordination
  • Proficiency in Microsoft Office and general computer systems
  • Ability to work independently and as part of a team

Preferred Qualifications

  • Prior experience in a healthcare or medical office setting
  • Familiarity with medical terminology

Compensation Range:

$18.78- $27.90

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, and licensure/certifications directly related to position requirements.
