JOB SUMMARY:

Boston Medical Center’s Patient Healthcare Fellowship Program is an innovative initiative that connects patients with specialized job training and supports them in securing full-time employment at BMCHS after program completion. The Senior Program Specialist is responsible for running day-to-day operations and manages key partnerships, ensuring a positive fellow experience and program success from recruitment through post-placement support.

This role manages all communications with fellows, YMCA Training, Inc., and internal and external stakeholders, including Talent Acquisition and physicians. The Senior Program Specialist develops and implements engagement strategies to support success of the fellows, tracks and analyzes program data to monitor impact, recommends and implements process improvements, and proactively resolves barriers that could affect participation or outcomes. This is an annual grant-funded position with a one-year opportunity.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Program Management & Partnerships.

  • Manage relationships with YMCA Training, Inc., fellows, community organizations, physicians, and internal partners, building strong, collaborative connections that support program success.
  • Plan and lead fellowship meetings, orientations, trainings, and milestone events—ensuring smooth execution and alignment with program goals.
  • Partner with YMCA Training, Inc. to monitor attendance and training requirements, proactively addressing barriers to fellow success.
  • Identify and resolve program gaps, recommending process improvements and securing resources to enhance the fellow experience (e.g., transportation access, support services).
  • Own communication strategy by sharing timely, clear updates with internal and external stakeholders regarding program requirements, expectations, and opportunities.
  • Manage recruitment and application process for patient fellows, including outreach, guiding candidates through the application process, and coordinating interviews with BMC staff.
  • Represent the fellowship program at local networking meetings to strengthen community presence and partnerships.
  • Manage the budget and oversee invoicing of the fellowship program.
  • Contribute new ideas to improve program delivery and outcomes.
  • Exchange constructive feedback with ODE team members and fellows to promote continuous growth and learning.

Fellow Engagement and Support

  • Conduct regular check-ins with fellows during training and throughout their first 18 months of employment to track progress, address challenges, and connect them with resources.
  • Collaborate with Talent Acquisition and internal hiring teams to support fellows in securing employment within BMC.

Tracking & Database Management

  • Maintain and update records on fellow participation, attendance, engagement, and performance.
  • Document communications with fellows, taking proactive steps to resolve issues before they escalate.
  • Manage fellow tracking databases, including entering resource information and running reports to monitor program progress, optimize resources, and identify opportunities for improvement.

Administrative & Operational support:

  • Coordinate administrative tasks, such as scheduling, preparing materials, sending communications, and maintaining contact databases.
  • Support compliance with hospital performance standards, patient rights, and safety protocols.
  • Apply the hospital’s behavioral standards to daily decision-making and interactions.
  • Perform additional responsibilities as needed to ensure program success.

Job Requirements

REQUIRED EDUCATION AND EXPERIENCE:

Bachelor’s degree and three to five years’ experience working with families of various backgrounds; or equivalent combination of education and experience.

  • Ability to work in a multi-cultural, diverse, decentralized environment, as a member of a health care team
  • Strong English communication (oral and written), interpersonal, organizational, and record keeping skills.
  • Bilingual or multi-lingual skills are a big plus.
  • Ability to handle multiple tasks and responsibilities at the same time effectively.
  • Knowledge of software applications such as Microsoft Excel and Word
  • Ability to interpret and record data and understand basic medical terminology.
  • Excellent interpersonal communication skills, with the ability to navigate difficult conversations in a professional and respectful manner.
