Position: Research Grants Administrator, Neurology
Location: Boston, MA
Schedule: 40 hours per week, (Hybrid preferred OR Remote)

POSITION SUMMARY:
This role will manage all administrative and operational aspects of the research efforts in the Department of Neurology. Areas of responsibilities include pre-award and post-award grant management, financial and HR management. Ensuring all grant proposals are compliant with federal regulations, helping to prepare grant documents, and managing budgets as well as finance maintenance. Track expenses/payments and process reimbursements; conduct budget projections; assist in grant proposal preparation and general administrative tasks as needed.
This individual must be able to multi-task in a fast-paced environment and shows detail-oriented skills. He/she must have working knowledge of NIH and industry sponsored grant proposal guidelines and OSP operations and be adaptable to changing proposing submission portals.
JOB RESPONSIBILITIES:
Collaborate with research PIs to coordinate pre-award submissions related to the study; inclusive of budget creation and reporting requirements.
Responsible for ensuring timely and full completion of all submissions, setting up reconciliation systems and monitoring that all funding and expenses are properly allocated for research grants.
Manage contract and grant accounts including deposits, balances, and authorization of expenses. Manage the financial accounts for awarded grants and contracts
Primary contact for all post-award issues for PI including, but not limited to: reimbursements, purchases, invoice payments, consultant payments, subcontracts, budget analysis, financial planning.
Manage close out process and checklist for all accounts, ensuring funds are spent and allocated appropriately, unspent purchase orders are closed out, etc.
Collaborate with Principal Investigator, Administrative Director and staff with the preparation and monitoring of annual budgets.
Interface with Department Administration, Division staff, Grants Administration, Purchasing, Accounts Payable, Payroll and other Hospital/University departments and external organizations to ensure a smooth and efficient post award process.
Generate and distribute reports on a regular basis to PIs as assigned and needed. Reports regularly (at least monthly) to Administrative Director regarding account balances
Other Responsibilities
Work with BU payroll and human resources to assist with hiring and management of research personnel

JOB REQUIREMENTS
EDUCATION:
Bachelor’s Degree required ; Master’s Degree with preference for Research Finance.
EXPERIENCE:
At least 3 years related experience in accounting, budgeting and/or grant administration experience is required.
Experience in healthcare, academic, or non-profit field preferred.
KNOWLEDGE AND SKILLS:
Knowledge of federal and non-federal grants
Knowledge of Grants Administration policies and practices.
Must be exceptionally organized to handle multiple projects, prioritize and meet deadlines
Requires excellent communication and interpersonal skills, to interact effectively with a multi-layered interdisciplinary team and outside contacts.
Advanced MS Excel, Word, Access, and PowerPoint skills. Experience with or ability to learn Lawson and additional application systems.
Highly analytical thinking with demonstrated talent for identifying, scrutinizing, improving, and streamlining complex work processes Ability to interpret financial data and operating metrics
Excellent written/verbal communication and interpersonal skills

The Department of Neurology at the Boston Medical Center is home to >30 NIH and industry-sponsored research studies (clinical and non-clinical trials) that support investigations on neurodegenerative diseases, movement disorders, stroke, neuromuscular disorders, epilepsy, infectious diseases, among many others.
