Schedule: Per Diem, As Needed, Non-Benefit Eligible

Position Summary:

The Administrative Medical Secretary for the Care Coordination Department is responsible for supporting and coordinating administrative tasks required for the Care coordination Department as well as supporting patient discharges. This position is also to act as liaison between outside groups and the Department including communication and paperwork sent to and from insurance companies and post-acute care providers, e.g., SNF, Home Care, DME, etc. The Administrative Medical Secretary is responsible for the mailings and faxing to government agencies as required by their regulations. The Administrative Medical Secretary will support the Department Manager by maintaining key financial and clinical statistics and databases as directed by senior leadership of the Hospital.

Responsibilities:

  • Perform full secretarial duties as needed for the Care Management department. Maintain statistical data as directed by the Care Management staff.
  • Coordinate the mailings to government agencies as directed by regulations with coordination from the Care Management and Documentation departments.
  • Act as a liaison between the Care Coordinators of the insurance companies and the RN Clinical Coordinators of the Care Management department.
  • Set up continuing education programs for staff of the Care Management department as directed.
  • Act as an advocate for the patient’s directing calls to the appropriate staff member.
  • Communicate pertinent information in a timely manner with Skilled Nursing Facilities, Community Health Agencies, Physicians, and other staff as directed by the RN and SW Care Coordinators.
  • Demonstrate effective leadership skills by demonstrating the ability to work autonomously.
  • Provide information as needed to other health care team members and to health care consumers.
  • Maintain databases for the purpose of the Care Management staff to analyze and present clinical and financial data to physician groups, as appropriate.

Requirements: 

  • Education: High school diploma.
  • Experience: 2 years in acute care setting, 2 years as a medical secretary.
  • Certification/Licensure: Graduate of accredited Medical Secretary program preferred.
  • Software/Hardware: Microsoft Excel, Word, and PowerPoint
  • Understanding of Medical terminology.
  • Proficiency with creating spreadsheets for maintaining data for the department.
