POSITION SUMMARY:

Reporting to the Senior Director of Communications and Donor Engagement, the Senior Project Manager, Development Communications and Engagement is a key member of the Development Communications and Donor Engagement team. The Senior Project Manager will guide the in-house creative team and internal stakeholders toward completion of project deliverables for multi-channel campaigns and new initiatives by building project schedules, managing dependencies, and coordinating with different teams to ensure deadlines are met, approvals are gathered, process is followed, and high-quality creative is delivered. The Senior Project Manager will operate in a cross-functional manner and play a crucial role in enhancing the team’s overall performance and productivity by leading the design, documentation and optimization of process workflows, resource guides, file organization, and supportive data and analytics The Senior Project Manager will also support and lead special projects, campaigns, and reports.

Schedule: Full Time, Hybrid (2 days on-site/week required)

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Create project plans for multi-channel campaigns, branded event content, new initiatives, and cross-departmental communication-led projects and oversee production timelines, assign roles, identify dependencies, surface and solve for risks that impact the project, and ensure high-quality, on-time deliverables

  • Manage donor communications and engagement request submissions, assigning project leads, triaging requests based on priority and/or complexity

  • Develop, maintain, and optimize production workflows, content pipelines, and approval processes to improve efficiency and consistency.

  • Establish and facilitate key meetings to support efficient, collaborative work, identify content needs, assign tasks, and clearly direct next steps 

  • Manage client relationships, provide status updates, secure approvals, and negotiate timelines and deliverable expectations with stakeholders based on capacity, complexity, and resource availability

  • Manage external vendors as needed, which may include securing competitive bids, conveying technical specifications, reviewing proofs and rough cuts, and more

  • Spearhead the creation of recap reports that help identify successes and opportunities for the team

  • Manage and optimize the use of project management tools (e.g., Asana, Smartsheets, Jira, etc), content management systems, and creative production platforms; support adoption of tools and processes through training, documentation, and reinforcement of best practices.

  • Continuously review and improve operational processes and identify technical supports to enhance efficiency and effectiveness 

  • Effectively use data and analytics to report out and identify key themes and learnings that can improve results and department processes 

  • Support department leadership with special projects

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s in communications, marketing or related field and 8-10 years of relevant marketing or communications experience, which must include experience in strategic project management within a communications or marketing group; or equivalent combination of education and experience

PREFERRED EDUCATION AND EXPERIENCE:

  • Advertising or healthcare Development experience

  • Nonprofit or creative project management/production experience

  • Experience in cross-functional stakeholder management including establishing and management of processes

CERTIFICATES, LICENSES, REGISTRATIONS PREFERRED:

  • Project Management certificate

KNOWLEDGE, SKILLS & ABILITIES (KSAs):

  • Mastery of PM tools (i.e. Asana, Sharepoint, Monday.com or similar, etc) 

  • Strong collaboration, organization, problem-solving, communication, and time management skills 

  • Ability to support multiple projects for multiple stakeholders while effectively managing conflicting priorities and fostering collaboration and alignment among creative, strategic, and leadership partners.

  • Strong understanding of content and creative production workflows (writing, design, multimedia, digital publishing).

  • Skilled in process optimization and building scalable, repeatable production systems.

  • Ability to create and monitor business key performance indicators 

  • High attention to detail with a strong quality assurance focus.

Compensation Range:

$77,000.00- $112,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
