POSITION SUMMARY:
Under the direction of the Administrative Director of the Department of Family Medicine and Medical Director of Greater Roslindale Medical and Dental Center, the Senior Manager, Strategy & Business Administration – GRMDC & Family Medicine is responsible for overseeing a diverse portfolio of high-priority initiatives that advance the strategic, operational, and financial goals of the Department of Family Medicine (DFM) and the Greater Roslindale Medical and Dental Center (GRMDC). The role spans strategic planning, primary care growth strategy, performance improvement, brand marketing, faculty affairs, and data-driven decision support. The manager leads and supports multidisciplinary work streams, aligning departmental operations with institutional priorities while promoting innovation, efficiency, and excellence in patient care.

ESSENTIAL RESPONSIBILITIES / DUTIES:
Strategic Planning & Growth
- Align corporate goals and enterprise initiatives with departmental priorities, translating business cases and pro formas into actionable operational and staffing plans that drive sustainable growth and service line expansion.
- Champion the planning and implementation of new clinical sites and service line expansions (e.g., Brighton, Roslindale), overseeing a comprehensive Primary Care Go-to-Market (GTM) strategy that ensures readiness across facilities, IT, staffing, and regulatory compliance.
- Provide strategic and administrative support to executive leadership (e.g., Chief of Staff to the COO, VP of Hospital Services), coordinating priorities, tracking initiatives, and communicating departmental needs in cross-functional settings.
- Lead integration planning and execution, including resource allocation, performance monitoring, and coordination of external consultants and integration budgets.
- Embed revenue cycle, marketing, and clinical integration planning into new site development, building readiness through scalable playbooks and Gantt-style roadmaps that promote consistent implementation across sites.
- Work with the Administrative Director to execute strategic priorities through defined workflows, staffing models, and provider performance structures.
Data Analytics & Performance
- Collaborate with the Director of Finance & Strategy to align budgets, staffing models, and funding allocations with departmental and institutional priorities.
- Manage data visualization and dashboard development to monitor provider productivity, access, efficiency, and patient experience across Family Medicine sites.
- Establish outcome-oriented KPIs and governance cadences that tie program performance to strategic objectives and budget stewardship.
- Ensure that data-driven insights inform financial planning and workforce optimization to support departmental strategy.
- Synthesize and translate complex performance data into actionable insights that inform leadership decisions, budget planning, and quality improvement.
- Develop tiered reporting structures that provide concise summaries for providers and detailed analytics for executive decision-making.
Financial & Grants Management
- Review Accounts Receivable and monitor collections performance to verify alignment with revenue targets and ensure timely resolution of outstanding balances.
- Support the cross-departmental Primary Care Coalition (Family Medicine, General Internal Medicine, and Pediatrics) to advance alignment across BMCHS, enhance transparency in funds flow, promote recognition of primary care’s value, and strengthen integration efforts.
- In conjunction with the Director of Finance and Strategy, conduct financial analyses and develop tools that enhance transparency, identify financial trends, and drive cost optimization and data-driven decision-making (e.g., budget trackers, compensation plan reviews, variance analyses).
- Create staffing and FTE projections for the department aligned with fiscal targets and multi-year budgets.
- Conduct monthly profit and loss reviews to ensure fiscal accuracy, reconcile interdepartmental invoices across specialties, and confirm that expenditures align with provider productivity metrics and reflect appropriate allocations to ensure financial and operational value while preventing duplicative payments.
- Manage and align grant, departmental, and institutional budgets—ensuring proper allocation, reconciliation, compliance, and optimized fund utilization.
- Assist ongoing efforts to document payor rules into departmental policies and the shared knowledge base.
Marketing, Communications & Brand Strategy
- Lead development and implementation of integrated marketing, communications, and digital engagement strategies that strengthen departmental visibility, patient access, and referral relationships.
- Collaborate with internal and external partners (e.g., Network Development, Strategy, marketing agencies) to enhance web presence, digital content, and community engagement.
- Design and oversee promotional materials, outreach campaigns, and website updates that align with BMC and BU Family Medicine branding standards.
- Incorporate analytics into campaigns to monitor engagement, referral growth, and marketing effectiveness.
- Implement data-driven strategies to enhance provider visibility and patient connectivity across digital platforms.
- Introduce scalable, evidence-based solutions that advance digital health, patient communication, and access optimization.
- Coordinate cross-site communication initiatives that promote consistency, transparency, and timely information sharing with patients, staff, and community partners.
Clinical Operations
- Design and guide formal change-management strategies to minimize disruption, address resistance, and maximize engagement during operational transitions.
- Collaborate with the Medical Director (GRMDC) to streamline workflows that enhance patient satisfaction, provider productivity, and revenue performance.
- Share and standardize best practices to promote quality improvement and operational consistency across clinics and programs.
- Collaborate with HR and the Administrative Director to ensure clinical staffing models align with operational needs and workforce planning goals.
- Develop and utilize data collection tools to analyze trends, measure outcomes, and drive sustained performance improvement.
- Monitor results of workflow solutions to ensure ongoing efficiency, regulatory compliance, and continuous process optimization.
- Partner with IT, Facilities, and other departments to ensure readiness and operational alignment during site openings, expansions, and infrastructure upgrades.
- Support development of policies, protocols, and resource guides that reinforce safe, efficient, and patient-centered care delivery.
Departmental & Faculty Activities
- Organize and facilitate weekly billing and operations meetings.
- Coordinate departmental scheduling activities, including vacation, CME, leave, and physician on-call schedules.
- In conjunction with the Administrative Director, coordinate recruitment, onboarding, and evaluation processes across the Department, ensuring alignment with institutional HR standards and strategic workforce sustainability.
- Build leadership capacity through succession planning and structured mentorship of managers, Operations Supervisors, and interns to strengthen internal talent pipelines.
- Integrate workforce planning with departmental strategy to ensure faculty development, engagement, and retention of high-performing teams.
- Develop and promote internal training and community education programs that strengthen operational performance and awareness of healthcare best practices.
- Maintain effective staffing models by monitoring turnover, absenteeism, and productivity to ensure optimal resource utilization.
- Conduct performance evaluations and implement development or corrective action plans as appropriate, consistent with institutional policies.
- Mentor staff to advance competency in data literacy, project management, and strategic thinking—fostering a culture of innovation, accountability, and continuous improvement.
- Manage cross-functional initiatives and analyze operational data to improve patient experience, clinic flow, and departmental revenue performance.
- Serve as a bridge between executive leadership and frontline teams to promote transparent communication, alignment, and coordinated execution of departmental goals.

- Minimum five years of experience in healthcare management, operations, or strategy, including exposure to performance improvement, financial analysis, and project management.
- Experience in marketing, brand strategy, referral development, and stakeholder engagement to enhance visibility and patient satisfaction.

Compensation Range:
$83,000.00- $120,500.00
