POSITION SUMMARY:

 Will perform various data management and analysis activities in Graduate Medical Education (GME).  Activities will include exporting and collating data from multiple systems, data entry, data analysis and reporting, and project management support.  Project management functions include establishing goals, project scope and timelines, tracking the status of the various initiatives, coordinating tasks, and serving on committees and workgroups as requested.  Responsible for reporting data from various systems and tracking performance related to graduate medical education priorities and initiatives. Generates reports and dashboards as required, and works to validate and optimize data accuracy. Participates in scholarly activity through manuscript drafting and submission, and works with collaborators to address recommended revisions of reviewers and editors.    

JOB RESPONSIBILITIES:

  • Data Analysis and Project Management Support Extracts key data points from electronic systems, such as the electronic medical record, the Accreditation Council for Graduate Medical Education’s (ACGME) website, and New Innovations (BMC’s residency management software) for collation, entry, analysis, and evaluation.
  • Analyzes information and creates scorecards or dashboards as needed, utilized for accreditation, learning environment assessment, and residency program management purposes.
  • Validates the accuracy of the data collected and performs data audits as needed. Answers questions and troubleshoots issues that arise with regard to GME data analysis or initiatives, as appropriate.
  • Creates templates of frequently requested reports and trains users for quick retrieval of data.
  • Works with the DIO, GME Administrative Director, and other  GME staff to establish goals and timelines for GME initiatives and projects such as streamlining and optimizing the Annual Program Evaluation process, designing reports and dashboards for a variety of stakeholders and enhancing and promoting the utilization of New Innovations by programs.
  • Support data needs and participate in resident Quality Improvement projects.
  • Completes assigned tasks related to initiatives and coordinates with colleagues in GME and other departments throughout the organization to ensure goals are met.
  • Tracks status of initiatives based on established timelines.

Administrative Duties

  • Processes information including correspondence, spreadsheets, databases, text forms, evaluations and reports, which may be complex in nature. Edits and proofreads all reports and evaluates the validity of data and documents contained in all reports.
  • Provides general administrative support, which may include, but is not limited to, scheduling meetings, setting up audio-visual equipment, transcribing meeting notes, following up on meeting-generated tasks and preparing documents, spreadsheets and presentation slides as needed

Quality Improvement Activities

  • Identifies relevant data and data sources for performance improvement initiatives. Maintains all data in accordance with regulatory, legal and institutional guidelines.
  • Works towards the goal of reducing paperwork and redundancy in data collection. Supports residents/fellows with QI projects and data analysis, as needed

Scholarship Activities

  • Drafts and prepares manuscripts for submission to scientific journals.
  • Provides statistical analysis of data and prepares tables.
  • Edits and revises manuscripts as appropriate

JOB REQUIREMENTS

EDUCATION:

  • Bachelor’s Degree, preferably in healthcare field, required.  (Master's degree a plus)
  • Knowledge of Graduate Medical Education is preferred. 

EXPERIENCE:

  • 3-4 years of experience in a hospital administrative, research or clinical setting and experience with data analysis and/or abstraction is required. 

KNOWLEDGE AND SKILLS:

  • Strong analytical skills and very detail-oriented focus.
  • Excellent organizational skills, including ability to multi-task and prioritize essential tasks. Excellent communication skills (verbal and written).
  • Familiarity with project management and quality improvement methodologies.
  • Proficiency with Microsoft Office including Word, Excel, PowerPoint, Access and internet web browsers.
  • Proficiency with survey tools such as Qualtrics and REDCap
  • Proficiency with formal statistical analyses software such as Stata and SAS
