POSITION SUMMARY:

The Program Assistant provides both programmatic and administrative support to Boston Center for Refugee Health and Human Right (BCRHHR) and the BMC Immigrant & Refugee Health Center (IRHC). Programmatic support includes overseeing Refugee Patient Navigator (RPN) volunteers and their training. It also involves outreach-related activities, organizing and receiving donations, and dispensing supplies to patients. When on site, the Program Assistant assists with patient walk-ins. Administrative support includes managing timesheets, quality checking of Empower database related information, organizing meetings, assisting with case management activities, and contributing to grant reports.

Schedule: Full Time

ESSENTIAL RESPONSIBILITIES / DUTIES:

1) Manage quantitative and qualitative data daily, weekly, and monthly:

  • Review weekly program data
  • Track clinician timesheets
  • Enter selective staff timesheets
  • Quality checking of timesheets including SOT status

2) Provide programmatic support, which includes, but may not be limited to:

  • Overseeing RPN volunteers staffing the programs
  • Organizing and coordinating training sessions for RPN volunteers.
  • Assisting with patient walk-ins

3) Help to evaluate programmatic outcomes.

  • Assist with program measures completion
  • Work with Senior Research Assistant to track completion of treatment plans/measures
  • Supports SRA with management of clinic databases and data collection

4) Assist with outreach-related activities and projects

  • Assists with outreach to community partners and other community-based organizations
  • Assists with outreach related to donations and philanthropic funding
  • Organizes BCRHHR leadership group and caring community meetings
  • Attends IRHC Patient Advisory Council (PAC) meetings and provides administrative support to members

5) Provide administrative support

  • Attends to specific BCRHHR intake calls
  • Organizes donations in the office and oversees distribution to clients
  • Quality checking related to SOT status and appointment data in Empower

6) Assist with case management activities

7) Coordinates activities with Director and Program Coordinator.

8) Assists with grant management and grant writing.

  • Contribute to grant reports
  • Research additional funding sources

9) Performs other duties as assigned or as needed.

JOB DESCRIPTION CHARACTERISTICS

EDUCATION:

Bachelor's Degree (or equivalent combination of formal education and experience) required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

None

EXPERIENCE:

Previous experience working in a non-profit program preferred.

KNOWLEDGE AND SKILLS:

  • Excellent verbal/written English communication skills, including excellent grammatical, editing and proofreading skills.
  • Highly proficient with Microsoft Office applications (i.e., MS Word, Excel, Access, PowerPoint, Outlook) and web browsers. 
  • Ability to work independently and exercise independent judgment.
  • Excellent interpersonal skills necessary to be socially perceptive in accepting and relaying confidential information, communicating policies and procedures, and interacting effectively with a diverse clientele.
  • Demonstrated critical thinking and problem solving ability.
  • Experience with diverse immigrant and refugee populations preferred, including lived experience as immigrant to the United States. Preference for candidates who are bilingual in English and any other language, but with preference for Haitian Creole, Spanish, Portuguese, Somali, Arabic, or French.
